Bilingual Receptionist/ Administrative Assistant
Job Summary:This individual is responsible for providing administrative support in an effective and efficient manner. This position would be reporting to Office Manager. Compensation based on experience.
Responsibilities:- Provide administrative and project support to multiple office personnel.- Be familiar with the Front-Line Team Manual (FLTM).- Answer all incoming calls and greet guests with a positive and professional demeanor.- Deliver messages to each office professional in accordance with their preference.- Be aware of office member's movements and be able to communicate effectively when asked.- Maintain appropriate interpersonal relationships with employees, peers, intercompany and external vendors/clients.- Manage calendars, including proactive communication and resolution to conflicts without disruption to workflow.- Anticipate meeting and conference call requirements and execute all meeting arrangements including, attendee invitation/confirmation, AV needs, catering, and registration when applicable.- Anticipate and prepare all travel and related accommodations for domestic and international travel.- Prepare, manage and analyze spreadsheets and reports.- Responsible for breakroom and conference room maintenance.- Manage company project files.- Manage incoming and prepare outgoing (domestic and international) mail/packages per the FLTM.- Manage office supply inventory, per office preference and the FLTM process.- Maintain desk area, keeping it clean, and all confidential matters properly secured.Qualifications:- Bilingual English/Spanish in both written and oral communication is required.- Office Suite experience required.- Experience making reservations for Domestic and International travel is required.- Demonstrated written and oral communication skills.- High degree of discretion dealing with confidential information.- Must be organized and detailed oriented.- Exercise follow-through consistently.- Demonstrated ability to take proactive measures with regard to projects.- Demonstrated ability to take initiative with problem solving.- Minimum five years clerical or administrative experience.- Strong command of Microsoft Office software (Word, Excel, PowerPoint).- COVID-19 vaccinated
