DEPARTMENT OVERVIEW

UC San Diego Extension is fully self-supporting, operating year-round (12 months of active instruction) with a budget of $47 million annually in primarily fee income. The unit has over 200 career employees, including academic, management, staff and executive, as well as represented and non-represented positions. Many casual or contract employees and student workers also serve in the organization. In addition, Extension employs more than 1,000 active by-agreement instructors.

Extension operates in 200,000 square feet of managed space, including a large off-campus classroom facility. The unit maintains a robust online learning platform, operating 24/7 with web-casting and video-conferencing capability. Extension also has a strong web presence with e-commerce operating 24/7. There are over 60,000 enrollment transactions annually; 35,000 outreach certification transactions and 25,000 service transactions. Extension supports a robust network of representatives, agents, and students (both residential and online) around the globe. Along with all of this, Extension operates two television stations, a variety of public lecture programs and is active in federal, state, local, and private research and technical assistance programs and activities.

POSITION OVERVIEW

The Instructor Services Specialist will provide high-level analysis and guidance related to instructor hiring, onboarding, compensation, support, and policies for programs in the Professional and Continuing Education Department at UC San Diego Extension. Oversee the course/instructor approval process and instructor hiring/onboarding process. Analyze instructor policies and processes and recommend improvements. Analyze instructor-related data and prepare reports. Audit instructor compensation agreements and payments. Train new Academic Directors and Program Representatives in the instructor hiring, onboarding, approval, and compensation processes.

The incumbent will serve as an expert on Extension s InstructorLink and ApplicantStack systems and guide and advise instructors and staff. Serve as primary contact for instructors regarding course materials, textbooks, and copyright liability issues. Support Academic Directors and Program Representatives with department and advisory board meetings. Process financial transactions for instructors, including purchase orders, reimbursements, and travel.

QUALIFICATIONS

*

A Bachelor's Degree in related area; and/or a combination of equivalent experience; and/or training.
*

Proven experience providing customer service in an academic setting, providing support to staff and instructors/teachers.
*

Demonstrated experience explaining and guiding individuals through complex policies and procedures.
*

Proven experience using strong basic math skills to calculate pay based on any combination of dollars per course meeting, percentage of net revenue, dollars per student, and similar formulas.
*

Demonstrated experience processing financial transactions such as reimbursements and service agreement payments.
*

Proficiency using computer application programs and standard business software systems to complete work assignments, create business correspondence, create and maintain financial spreadsheets, and compose presentations (e.g., Word, Excel, Access, PowerPoint).
*

Demonstrated experience planning and coordinating logistics for professional events.
*

Demonstrated strong writing, editing, and proofreading skills.
*

Proven experience successfully interacting with a property management company, vendors, and service providers to solicit goods, services, maintenance, and repairs.
*

Strong analytical skills to organize, interpret, and analyze complex information from a variety of sources and write coherent reports based upon data and analysis from multiple sources. Solid problem-solving skills to conduct analysis and develop recommendations.
*

Excellent communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing. Proven ability to use sound judgment in responding to issues and concerns.
*

Solid organizational skills and ability to multi-task with demanding timeframes. Ability to use discretion and maintain confidentiality.
