DESCRIPTION =========== DEPARTMENT OVERVIEW The Rady School of Management provides business education through its Masters degree programs, PhD program, undergraduate minors and courses, and executive business seminars. In addition to these educational programs, the Rady School includes the Beyster Institute, the California Institute of Innovation and Development (CIID), Center for Social Innovation and Impact, and the US Israel Center. POSITION OVERVIEW The Director of Graduate Academic Advising, Student Services, & Instructional Support is a position of critical importance to the mission of the UCSD Rady School of Management. Reporting to the Rady School of Management Assistant Dean of Graduate Programs, this position provides management/administrative/supervisory expertise, supervises professional and administrative staff and leads all academic and student services advising, course scheduling, student registration/enrollment, financial aid/funding, programming, co-curricular programs (speakers series, programs abroad, student clubs and social activities, orientation, graduation), assesses and implements work process improvements and policies, manages a budget, and plans the implementation of student services for new degree programs. The position oversees graduate academic advising and student services for 6 masters degree programs, a PhD program, and a Programs Abroad program, as well as supervising Academic Student Employment (ASE) for graduate students. This student-centric position interprets complex University and Rady School policies, provides advice and guidance to staff, faculty, and senior leadership on student affairs and programmatic issues, student-related University policies, grading and instructional policies, union employment policies, academic integrity and student behavior policies and best practices. Ensures that Rady graduate student services programming is presented with sensitivity to the needs of all students including international students acclimating to the US culture, educational system, academic/professional/social expectations. The position also oversees and directs instructional support activities including the use and maintenance of the online learning management system, directs course materials and support activities, supervises the implementation of University and Rady policies and procedures related to course calendars, course registration and enrollment, student life, academic performance indicators, and ensures compliance with federal law (FERPA) and UCSD policies related to graduate division, Office of Students with Disabilities, etc. This position currently supervises 1 Assistant Director of Grad Student Services, 1 Programs Abroad Manager, 1 Enrollment Coordinator, and 2 Instructional Support Assistants and indirectly supervises (through the Assistant Director) 4 grad advisors and 2 program assistants. * A cover letter is required for a complete application. * Occasional evenings and weekends may be required due to special events (student-focused events, student club activities), annual events (orientation, graduation, pre-term), and routine operations related to evening classes and weekend classes. * This position is responsible for a 6 day/week operation, an area that provides educational classes and services to Rady students from 8:00am through 8:00pm Monday - Friday and from 8:00 am 5:00pm every other Saturday 12 months of the year. QUALIFICATIONS ============== * A Master's Degree in student administration, student affairs, educational counseling, higher education administration or similar terminal degree (such as MBA, Doctorate in Education) and at least five (5) years of management/supervisory experience in an academic setting; or similar combination of experience. * Proven management/administrative/supervisory experience in a university supervising multiple degree programs, creating policies, supervising course scheduling, student registration/enrollment, student advising, overseeing multiple co-curricular programs, implementing process improvements, managing a budget, advising faculty, and creating and implementing new programs. * Proven experience interpreting the complex rules of a large university pertaining to course calendars, registration, enrollment, student life, academic performance indicators, academic integrity issues, co curricular programming, academic student employment, etc. * Strong supervisory experience: hiring, coaching, supporting, evaluating, and training professional and support staff. Experience ensuring a positive work environment, introducing an atmosphere of customer service excellence. Experience delegating and assigning tasks, monitoring production and quality of work, setting clear and reasonable performance standards. * Experience supervising and advising multiple academic advisors on sensitive, complex issues related to academic performance, degree progression, academic integrity, educational/personal challenges faced by graduate students. Experience providing guidance to advisors and faculty when exceptions to policy are required. * Experience providing hands-on student advising for the most complex and unusual issues with a highly sophisticated, high achieving student population, including situations without precedent or fall outside of policy or previous departmental experience. * Demonstrated experience providing consultation and guidance to faculty on student affairs and programmatic issues, grading policies, instructional policies, student behavior issues. * Experience identifying and taking action related to crisis situations needing public safety personnel. Knowledge of University and departmental principles and procedures involved in risk assessment. Listening skills, conflict management and de-escalation skills. * Demonstrated experience assessing operations, collaborating with others to develop innovative approaches and written procedures to provide more efficient and responsive services. * Experience supervising Academic Student Employment procedures and policies including fee remission policies,graduate student employment duties, payroll issues and deadlines, and rules related to international graduate student employees. * Demonstrated experience supervising TA assignment policies and implementation of TA assignments. Experience addressing and resolving TA assignment issues, employment issues, or performance issues. * Strong experience with an online learning management system such as Blackboard, Canvas, TritonEd or similar. In-depth knowledge of student data systems, Microsoft Office; experience using Excel; experience generating queries and reports. * Solid prioritization, time management and collaboration skills. Rapport-building skills. Excellent communication skills, written and verbal. PREFERRED QUALIFICATIONS: * Experience organizing and supervising support services related to classroom and educational activities such as course materials ordering, speakers series, classroom use, course scheduling, enrollment and registration.
