Job Title: RMD Executive Office Manager

Dept: RMD Operations

Reports to: Managing Partners

Job Class: Exempt

Position Summary: This position provides assistance to the RMD Partners and Executive Team. Will be responsible for the day-to-day operations of the Executive Office and assisting with various projects as required. The successful candidate possesses strong administrative, communication, project management and decision-making skills who can balance multiple priorities.

Duties and Responsibilities:

Responsibilities include, but are not limited to:

  • Manage day-to-day office operations
    • Updating calendars, coordinating meeting space including the conference room schedule
    • Opening and distributing mail
    • Filing as necessary
    • Maintaining office supply pars
    • Act as the liaison between the RMD Office and the various venues under RMD management
    • Assist the RMD Partners and Vice Presidents in daily business activities and special projects as requested
      • Supporting all aspects of new RMD venue projects, from Development to Opening stages
      • Completing Executive team expense reports and reimbursement requests
      • Coordinating travel requests for Executive team.
      • Provide administrative support for multiple programs, staying on top of best practices and features, as well as training all users to follow policy and procedures
        • SharePoint: online file sharing platform

        • Meistertask
        • Pulse
        • RMD Microsoft Account
        • Support Human Resources as needed for employee administration and tracking
          • Updating and maintaining employee files
          • Tracking new hire job training
          • Tracking compliance related trainings such as sexual harassment, first aid/cpr
          • Setting up new users and performing other admin tasks on the hiring and recruiting platform (Jobvite.com)
          • Coordinating documentation and communications related to employee terminations
          • Ensure compliance with governmental rules and regulations
            • All annual filings, forms and permit renewals for all venues
            • Staff licenses and certifications
            • Maintaining compliance with OSHA requirements
            • Perform other ad hoc duties as required
              Qualifications:
              • Minimum 3 years of prior executive administrative experience required
              • Project management experience strongly preferred
              • Must have proficient computer experience in Microsoft Word, Microsoft Excel, Microsoft Power Point, Microsoft Teams and Microsoft Outlook
              • Experience with Microsoft Project or similar program preferred
              • Hospitality experience preferred

                  Education:
                  • High School Degree or equivalent required
                  • Bachelor's Degree (B.A) or equivalent preferred

                    Certificates, Licenses, and Registrations:
                    • Annual expectations will be set for ongoing learning and may include acquiring certifications, licenses and/or registrations that are applicable to the responsibilities of this position.
                      Salary $60 - $65k Annually- Based on experience
