Job Purpose: The Restaurant Services Coordinator provides general support for the Collections division and has a supporting role in the overall administration of New Leaf Biofuel. They assist daily in many roles including customer service, schedule updates, routing, data entry, accounting, billing, and other miscellaneous duties as required. Duties and Responsibilities: Oil Collection:

  • Answer calls and/or emails from oil collection and grease trap customers and assist with customer and driver requests
  • Enter all incoming calls into SalesForce CRM
  • Perform all account creations, suspensions, and cancellations
  • Send out new account welcome packets
  • Create or reschedule call-in work orders
  • Communicate with Restaurant Services Technician to meet delivery needs and to maintain restaurant tank/tote inventory
  • Communicate delivery equipment needs to Field Operations Manager for re-order
  • Update and maintain oil collection gallons database
  • Fill in for Collections office staff as needed
  • Preschedule oil pickups
  • Generate account reports for customers
  • Assist in efficiency efforts in CSS, work in conjunction with Restaurant Services Specialist and Field Operations Manager
  • Manually enter delivery route into CSS Grease Trap:
    • Take calls and/or emails from grease trap customers and assist with customer requests for service, invoice requests, reports,and autopay updates.
    • Enter all incoming calls into SalesForce CRM
    • Preschedule grease trap service
    • Update emails regularly for service tickets Accounting:
      • Contact customers for outstanding invoices, remove credit holds after collecting payment.
      • Scanning receipts and uploading departmental purchases/reimbursements
      • Support monthly grease trap billing, as needed Miscellaneous:
        • Miscellaneous administrative tasks include filing, errands, organizing and keeping the office/kitchen tidy, etc.
        • Any other miscellaneous duties deemed relevant, prudent, reasonable, appropriate, or necessary

          Requirements:
          Qualifications
          • High school diploma or equivalent
          • Proficiency in QuickBooks required
          • Microsoft Office & Teams (advanced knowledge of Excel preferred)
          • SalesForce CRM
          • Experience with routing software a plus
          • Outstanding customer service experience
          • Ability to handle high call volume
          • Basic office equipment (fax, scan, copier, multi-line phone) Working Conditions This position requires attendance Monday through Friday from 9 AM to 5:30 PM (including mandatory lunch break). Overtime or weekend work will be required only on a limited basis as needed. Work will be performed in an indoor office environment.
