Monday, May 22, 2023 Position Summary: The HR Compliance
Coordinator reports to the Sr. Manager, HR Compliance and plays an
integral role in providing administration and clerical support to
our Compliance and Business Partner teams. This position assists
with the offboarding of employees, invoice reconciliation,
unemployment claims and personnel file management. They also ensure
that internal processes are administered and followed in accordance
with federal and state regulations. The HR Compliance Coordinator
requires excellent organization, people, and time management
skills. Essential Functions of the Job:
- Schedules and conducts exit interviews in coordination with the
Business Partners.
- Coordinates offboarding with exiting employees; final checks,
equipment returns, collection of signed paperwork, file management,
etc.
- Monitors the Employee Relations shared email inbox, responding
to inquiries as appropriate and forwarding emails to the Business
Partners as needed.
- Responsible for monthly and weekly invoice reconciliation for
Department of Motor Vehicles (DMV), FedEx and Department of Justice
(DOJ).
- Maintains the approved driving list with both the DMV and
finance department.
- Responsible for keeping our DOJ processes currents and will
serve as a Custodian of Records (COR) with the DOJ.
- Review and process Emergency Relief requests
- Review and process Request for People (RFP) replacement
requests in Dayforce
- Maintains knowledge of HR policies and required practices and
presents any questions or unusual situations to the HR
management.
- Assists with both internal and external audits.
- Assists with I-9 compliance.
- Files documents into the appropriate employee files and assists
with employee personnel file maintenance in accordance with federal
and state regulations.
- Responsible for front desk rotation coverage. Additional Duties
and Responsibilities:
- Performs other duties as assigned. Job Requirements: Education
Required (Minimum level of education):
- BA degree in HR/Business Administration or related field
preferred. Experience Required (Minimum level of experience):
- 1 year of relevant HR experience preferred. Must have excellent
English speaking and writing skills. Spanish speaking and writing
preferred. Technical Knowledge and Skills Required to Perform the
Job:
- Knowledge of State and Federal employment laws. Equipment Used
(Computers, phones, vehicles, copy machines and fax machines etc.):
- Microsoft Office suite including, PowerPoint, Microsoft Word,
and Excel. Working Conditions and Physical Requirements
(Sitting/Standing/Walking/Lifting/Noisy/):
- This is an on-site position with possible travel to other
locations as needed. Universal Requirements:
- Pre employment requirements include I-9, physical, positive
