Plan Associate (San Diego, CA) Summary In collaboration with the Plan Manager and department staff, responsible for the administration of various employee benefit plans including Health & Welfare, Pension, Vacation, Apprenticeship and Supplemental Unemployment Benefit Funds. Full time. Serves as a face of BeneSys at the client level. Primary Responsibilities Exercise discretion and confidentiality in all matters relating to administration of employee benefit plans, including but not limited to: Fund financial and investment information, Trustee concerns and participant appeals. Board of Trustees Meetings

  • Responsibilities include:
  • Schedule quarterly, monthly, and ad hoc Board of Trustees meetings;
  • Request, organize and combine reports and other documents into both an agenda and a meeting booklet in collaboration with the Plan Manager;
  • Print and mail copies of the meeting booklet to Trustees and Plan Professionals;
  • Attend Board of Trustees meetings, record actions taken, and prepare meeting minutes;
  • Prepare and distribute a post-meeting task list, schedule meetings to discuss the task list and follow up with Plan Professionals and BeneSys department staff to ensure completion of action items. Attendance at Board meetings may require overnight travel.
  • Review and distribute monthly financial statements, work hour reports and participant counts
  • Monitor income and expense fluctuations, distribute as directed by the Plan Manager Intraorganizational and Interorganizational Communications
    • Collaborate daily with BeneSys departments to convey, answer questions about, discuss problems, and troubleshoot issues to ensure that client-specific procedures are understood, correctly, implemented, and routinely followed.
    • Acquire a thorough knowledge of BeneSys and Fund-level operations
    • Apply sound, independent judgment without supervision to: answer questions from vendors, professionals and legal counsel
    • Assist coordinators in resolving participant issues
    • Determine the priority of received requests and materials
    • Interpret which issues require the involvement of the Plan Manager Day-to-day Operations
      • Maintain meeting files, respond to appeals following Trustee decision, work with Fund Legal Counsel, file information in the applicable Administrative Files, routinely work independently, referring to the Plan Manager for direction when appropriate.
      • Process all applicable invoices received for the Funds, including monthly or quarterly billings from all service providers.
      • Work in conjunction with the Plan Manager and Plan professionals to draft and coordinate all employer and participant mailings to notify of rate changes, benefit changes, etc.
      • Register Trustees for conferences, maintain all documentation including seminar expenses and annual IFEBP membership registration.
      • Process and maintain files for all requests for Trustee reimbursements and lost wages.
      • Obtain the data necessary for benefit studies and the renewal data for vendors.
      • Coordinate and lead the Funds' annual audits.
      • Provide auditors data required to audit and prepare annual financial statements, annual government filings such as Forms 990 and 5500.
      • Prepare, calculate and file PBGC documents, if applicable.
      • Responsible for timely filing of government filings and any required annual notice as assigned.
      • Obtain necessary data to complete and file applications for Fund insurance policies.
      • Set-up and maintain paper and electronic files.
      • Manage all general Fund correspondence: appeals, monthly financials, miscellaneous Trustee correspondence and all vendor correspondence.
      • Handle problematic calls or situations, including complaints against Supervisors or Managers and requests from Trustees.
      • Handle escalated calls, requests or situations, both internally and externally, including Trustees, participants, vendors and internal departments as needed.
      • Rely upon sound, independent judgment to answer questions from vendors, professionals and legal counsel, assist coordinators in resolving participant issues, determine the priority of received requests and materials
      • Interpret which issues require the involvement of the Plan Manager.
      • Maintain administration forms in OnBase.
      • Collaborate with other departments to gather data needed for the annual Plan Valuations, such as the Pension Valuation and the ASC Valuation.
      • Administer Medicare Part D RDS process as applicable.
      • Maintain, track and report the RDS Medicare Part D applications including filing, reconciliation, weekly notifications, weekly downloads, request payments and report to the Trustees regarding same.
      • Order payroll audits and maintain payroll audit schedules, coordinate and update reports for audits and surety bonds per Plan policy as applicable.
      • Assist the Plan Manager on obtaining the data necessary for benefit studies and the renewal data for vendors.
      • Maintain websites, such as Trustee Website, Participant Website, and Client Website. Includes such items as post all participant mailings, current plan documents (SPD, amendments), benefit change notices, vendor notifications, FAQ's and any other relevant information.
      • Maintain an updated contact list for all clients ensuring that all updates are applied to all appropriate electronic files and data bases and communicate changes to all external Plan professionals.
      • Other duties as directed. Qualifications Required Qualifications:
        • High school diploma
        • 3-5 years benefit administration experience
        • Intermediate knowledge of various computer programs: Microsoft Word, Outlook, and Excel
        • Organization skills
        • Ability to read, analyze and interpret general correspondence
        • Ability to prepare reports, draft meeting minutes and correspond with Fund vendors, participants and Trustees
        • Ability to effectively present information and respond to inquiries from managers, clients, vendors and participants
        • Ability to interpret and follow a variety of instructions furnished in written or oral form
        • Must be attentive to detail and disciplined to meeting deadlines and establish priorities
        • This job can be stressful and demanding at times and the successful candidate must be able to work effectively under those conditions Preferred Qualifications
