Our Exciting Work EnvironmentPetco ParkThis position is located at PETCO Park, the current home of the San Diego Padres. Sportservice at PETCO Park is the premier provider of concessions, premium services, catering and retail. This facility holds 46,000 spectators at any given event. Please visit for more information. The OpportunitySan Diego Baseball is seeking a qualified person with excellent general data entry and keyboard computer skills to join the Purchasing department as an Administrative Assistant.This person will report to the Purchasing Manager and provide administrative support utilizing data entry for all facets of the inventory software programs in accordance with the Company s GuestPath Universal Service Standards and applicable Operational Standards.The ideal candidate will have had prior administrative experience and/or experience in the hospitality industry either at an event venue or warehouse environment.The successful candidate MUST meet the following criteria:

Have a working knowledge of purchase orders and sales orders.Have experience working with multiple warehouses (including virtual warehouse).Have an understanding of the difference between direct shipment vs drop shipment.Experienced and comfortable working with Microsoft Excel and general PC use.Willingness to learn and adapt to different order fulfillment systems and processes.Must be detail oriented and possess ability to multitask.Order Management
Monitor all areas of purchasing including contractsBuild and develop relationships with key suppliers and customersPrepare purchase requisitions, approve and issue purchase orders in accordance with company policy and negotiated terms and conditionsNegotiate for best cost for value on products and secure favorable purchase agreementsForecast supply needs and requirements and act based on this forecastBuild and develop relationships with key suppliers and customersMaintain related purchasing, vendor and project filesTrack purchasing activity and measurementsDevelop and review purchase requests and ensure authorization as necessary to facilitate the timely purchase of productsMaintain healthy relationships with vendors and industry contactsLiaise with Accounts Payable to ensure accurate and timely payment of invoices, as necessary for the business with the suppliersAssist with special projects as neededRequest sample orders as needed.Prepare shipping labels for the warehouse.Confirm inventory availability before approving EDI orders.Validate Packing List are correct.Logistics
Track shipment statuses from pickup to delivery.Contact carrier to expedite or resolve delayed shipments.Obtain proof of delivery to resolve delivery issues. Essential Functions:
  • Data entry creating purchase orders, receiving the orders and stock transfers between departments
  • Database maintenance
  • Answer phone and field inquiries
  • Ensure compliance in accordance to GuestPath Universal Service Standards
  • Maintain an organized filing systemEducation & Experience:
    • Minimum high school graduate or GED
    • Previous experience in an office environment is required
    • Prior warehouse experience and BOH daily operations preferred
    • BirchStreet experience preferredQualifications:
      • Ability to interact effectively with all levels of management and associates.
      • Effective communication skills ability to understand and follow direction.
      • Excellent guest service skills; ability to adhere to Company s Guest Path Universal Service Standards
      • Must have the ability to work independently, producing detailed work with accuracy.
      • Must be a problem solver, work under pressure and maintain a professional, helpful and poised demeanor. A good multi-tasker and the ability to prioritize.
      • Efficient and accurate typing skills. Good Math skills.
      • Neat and professional appearance and attire.
      • Must be able to work a flexible schedule, as there are games and events throughout the week, some holidays and weekends.Intermediate computer skills including office suite.Excellent negotiation, time management, and organizational skills.Must be able to effectively communicate to all levels of the organization and external companies.Problem solver, ability to work on multiple tasks, results driven.Bachelor s degree is preferred.Understanding of basic construction is preferred.3 to 5 years experience in purchasing or procurement desired.Who We AreAt Delaware North, you ll love where you work, who you work with, and how your day unfolds.
