This position will be responsible for entering vendor invoices, selecting periodic payments, resolving vendor payment issues, as well as insuring pass through of vendor charges to client invoices. This position will be based in the San Diego, CA PCI site and will report to the site Finance Director.

  • Perform vendor maintenance of the ERP address book
  • Receive, review and process vendor invoices for payment
  • Ensure efficiency in utilizing all discounts and adherence to all vendor rebate terms
  • Working with vendors to resolve payment disputes
  • Working with personnel to resolve purchase order issues
  • Review, investigate and corrects errors with vouchered items
  • Provide invoice and PO information to support month end AP accruals
  • Create payment control groups for the weekly check run, get the appropriate approvals and process checks for payment
  • Enter weekly ACH payments into bank system, ERP and Excel files
  • Print all Accounts Payable reports and reconciles Accounts Payable Accounts in General Ledger
  • Prepare and issue annual 1099 forms
  • Review third party invoices to insure accurate pass through of charges to clients
  • Prepare reconciliations for all prior and current invoices against the project costs per contract
  • Assist in providing audit back-up for the year-end audit process
  • Track client invoicing against expenses and client contracts to insure revenue is recognized
  • Maintain customer contacts in the ERP system
  • Issue invoices and credit memos to customers
  • Perform Cash Applications
  • Record daily ACH and Wire payments
  • Investigate and resolves billing issues by providing back-up to clients
  • Prepare/enter journal entries
  • Support the management of intercompany activities
  • Perform account reconciliations on a monthly basis
  • Knowledge of and adherence to all PCI, cGMP, and GCP policies, procedures and rules
  • Other duties as assigned by Manager
  • This position may require overtime and/or weekend workMINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:
    • Bachelor's degree in Related Field or 4+ years of Accounting Experience
    • Intermediate Computer and Excel skills
    • Must possess exceptional skills in communication and exhibit demonstrated behaviors around customer care, customer service and sensitivity to customer needs
    • Must possess and demonstrate excellent verbal, written and interpersonal communications skills
    • Must possess excellent problem solving and analytical skills
    • Must be well organized and detail and multi-task oriented
    • Must work well under pressure and be able to prioritize workloads
