Job Description:

Carlsbad By The Sea is hiring for the role of Sales Coordinator.The Sales Coordinator is responsible for coordinating all group and event needs, as well as sales support whenever necessary. He/she is responsible for sales activities as it relates to the Norther Virginia/DC market. He/she is responsible for maintaining professional relationships with client contacts as well as customer service, correspondence and communication. Revenue functions and duties may be assigned and required. Knowledge and implementation of excellent service philosophy and programs is required in dealings with clients, guests and co-workers.Essential Job Functions:Answer sales phone callsRespond to all sales inquiries and follow-up on all customer needs accurately, timely and in a professional mannerSolicit past group businessSolicit new business based on hotel's needs (group or transient TBD by GM or Sales Leader)Proactively sell and conduct tours for meeting and banquet space while providing information on hotelType correspondence, reports and necessary forms (i.e. contracts, prepare proposals, etc.) as directedAssistance in coordination of all group business as contracted by the sales managerEffectively communicate with all departments to ensure that the meeting and related functions are executed to exceed the client's expectations-assist set up, tear down of meeting roomsMaintain well-documented, accurate, organized and up-to-date file managementDevelop strong customer relationships through professional client communicationWork with sales personnel to achieve required sales team goalsHave current knowledge of hotel rates, strategies, discounts and promotionsAssist with completing required sales reportsAssist hotel with implementing hotel specific selling strategiesPromptly follows-up on all customers needs and inquiries in an efficient and expedient mannerAssists the sales manager with client events, etc.Book all wedding eventsMaintains social media sites, such as Facebook, Twitter, etc.Conduct site visitsRequired Training/Education/Experience:

  • High School Diploma
  • Associates degree preferred with administrative training, including typing, filing, and telephone skills. One to two years office experience with organizational and communication skills

    • Good communication and interpersonal skills
    • Must have command of the English language, written and verbal
    • Must be able to organize time effectively and work flexible and extended hours if necessary
    • Must have basic mathematical skills for simple calculations.
    • Must be able to work with minimal supervision
    • Must be proficient and experienced with current computer software programs and preferably hospitality software
    • Must be able to proofread
    • Software: Microsoft Office (Word, Excel, Outlook)
      Additional Responsibilities:APPEARANCE AND GROOMING: All staff members are required to follow the guidelines set forth by the associate handbook.LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence and memos, ability to write simple correspondence, ability to effectively present one-on-one and small group situations to customers, clients, and other staff members of the organization and hospitality community.MATHEMATICAL SKILLS: ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages and ability to apply concepts of basic algebra.REASONING ABILITY: ability to apply common sense understanding to carry out instructions furnished written, oral, or diagram form, ability to deal with problems involving several concrete variables in standardized situations and ability to address customer personalities in various business situations.PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by a staff member to successfully perform the essential functions of the job. While performing the duties of this job, the staff member is regularly required to sit; use hands and fingers, to handle and feel objects, tools controls and type; talk with and hear guests. The staff member is occasionally required to stand and walk. The staff member must occasionally lift and/or move up to 40 pounds. The specific vision abilities required are close vision.WORK ENVIRONMENT: The work environment characteristics described here are representative of those a staff member encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate.
